JWJCSA Policies & Fees
By registering for any class or lesson at the James Weldon Johnson Community School of the Arts (JWJCSA), you agree to abide by these Policies & Fees. Please review carefully before completing your registration.
Tuition & Fees
- A non-refundable registration and processing fee is included in tuition.
- Tuition does not include textbooks, course materials, or instrument rentals unless specifically stated.
- Instrument rental or usage policies: Instruments loaned by JWJCSA must be returned in good condition. Repairs or replacements for damage beyond normal wear may incur charges.
- Payment options:
- Full payment at the time of registration, or
- Two-payment plan available for private music lessons only — first payment due at registration; second payment due within 30 calendar days. This plan does not relieve the obligation to pay full semester tuition.
- Accepted payments: credit card, personal check, money order, Zelle, or cash.
- Late payment fee: $30 applied to any balance more than 30 days past due.
- Returned check / declined payment fee: $30.
- Registration Fee: $50 per term.
- Processing Fee: $35 per course (including private lessons).
Refund & Withdrawal Policy
- All refund requests must be submitted in writing using the official withdrawal form or online submission.
- 100% refund, less the registration & processing fees, for withdrawals received at least 14 days before the start of class.
- 75% refund, less the registration & processing fees, for withdrawals received by the first scheduled class.
- No refunds after the first scheduled class. At JWJCSA’s discretion, an account credit may be granted for future enrollment.
- In the event of a full course cancellation by JWJCSA, enrolled students will receive a full refund or credit. This does not apply to cancellations or postponements due to inclement weather or emergencies, in which case JWJCSA may reschedule, extend the session, or shift to online instruction to fulfill instructional hours.
Attendance, Conduct & Make-Up Lessons
- Students are expected to arrive on time, come prepared, and demonstrate courtesy and respect. To maintain a supportive and uplifting environment consistent with JWJCSA’s mission, behavior that disrupts learning or diminishes the classroom experience may result in dismissal from the class without refund.
- Private lessons: Make-up lessons or virtual alternatives may be offered at the instructor’s discretion if at least 48 hours’ advance notice is provided (or as soon as possible in cases of illness or emergency). Make-ups are subject to instructor availability and are not guaranteed.
- No refunds or credits will be issued for student absences, including travel, school events, or illness.
- If an instructor must cancel, JWJCSA will provide a rescheduled date, a substitute instructor, or an equivalent alternative session.
Inclement Weather & Emergencies
- JWJCSA may cancel, postpone, or move classes online due to inclement weather or other emergencies.
- When possible, classes will be rescheduled or the session extended to ensure instructional time is maintained.
- Announcements will be posted on the JWJCSA website and shared via email and/or text. Please ensure your contact information is current.
Health & Safety
- Students and families should stay home when sick or exhibiting symptoms of illness (e.g., fever, cough, respiratory symptoms).
- Participants must be symptom-free (without fever-reducing medication) for at least 48 hours before returning to class.
- JWJCSA may adjust health and safety guidelines based on public health recommendations.
Photo, Video & Recording Policy
- JWJCSA may photograph, record, or film classes, rehearsals, and performances for educational, archival, and promotional purposes.
- By enrolling in JWJCSA programs, participants grant permission for JWJCSA to use such media in print and digital materials. Enrollment constitutes consent to these terms.
Non-Discrimination & Inclusion
JWJCSA welcomes all individuals regardless of race, color, ethnicity, national origin, gender, sexual orientation, religion, or ability. We are committed to providing an inclusive and respectful learning environment for all. JWJCSA complies with all applicable laws prohibiting discrimination in the conduct of its operations and programs.
Policy Updates
JWJCSA reserves the right to revise or update these Policies & Fees at any time. Registered families will be notified by email of any significant changes. The version in effect at the time of registration governs your enrollment.
